Bank J. Van Breda & Co is no bank for just everybody. The advisory bank focuses exclusively on entrepreneurs and liberal professions. By definition, they have clients who know what they want, so the bank must also be sure of itself. Bank Van Breda and its subsidiaries employ 467 people. Each year an average of 30 new employees are recruited.
In March 2007 Bank Van Breda launched the ‘Grand Slam’ project. The aim was to see, define and measure a number of core processes for each department. HR also received its share of attention and within the domain of recruiting the more important parameters were defined. The response time was good, but the method could have been more efficient. “We were already working with online applications in those days. Anyone who wanted to apply for a position had to complete a few essential tings online, and add documents as attachments. Every time an application came in, we printed out the documents and used a Microsoft Access tool to follow up”, explains Anne Wouters, personnel policy coordinator at Bank Van Breda.
Just when Bank Van Breda was looking for a way to simplify the administrative side of recruitment, it was contacted by CVWarehouse. “To us it was immediately apparent that they were the right partner”, Anne Wouters recalls. “It felt good right away. The solution that CVWarehouse offers appealed to us: you make the system as complicated or simple as you want. That’s a big difference from other software programs. They involve much more management and therefore offer functions that we have to pay for even if we don’t need them. As one of their first clients and with roots in the same region, we were there from the inception of the business and the lines of communication remained short.”
So Bank Van Breda and CVWarehouse have been working together for six years. “The fact that CVWarehouse now has a number of large, international companies among its clients is great. This reinforces our conviction that we made the right choice”, says Anne Wouters.
With the help of CVWarehouse, the administration was reduced, the follow-up simplified and a lot of trees have been saved. The same strict rules for internal processing times have been maintained: within five working days an applicant must have heard back: whether or not there is a match, or if there are several suitable candidates, if he/she will be invited to interview. “CVWarehouse supports us in achieving our goals. One click of a button shows us where action is needed. It makes our lives much easier.”
The reporting goes much smoother than before. “We used to have to export six or seven Access reports into Excel. Now we have a complete overview with one click of a button. So we can quickly see how many candidates are contacting us per month, whom we invite to a first interview, who makes it through the assessments, etc. With CVWarehouse, we have various useful reports. You notice that the tool is built by and for HR staff.”
The CVWarehouse software is very user friendly. “Because we were too dependent on external recruitment agencies, last year we made a thorough selection of companies with which we want to work. The number of partners was cut back, and we reinforced our in-house department with a new colleague. As a result, we can retain the initiative ourselves. The new employee could immediately handle the tool.”

In March 2012, Bank of Breda and CVWarehouse faced a new challenge. “That was when we launched our jobsite. There was lengthy preparation beforehand: we wanted the site to show the culture of Bank Van Breda and encouraged all colleagues to participate. We made use of movies and integrated a LinkedIn-application on the home page. The look and feel had to extend throughout the whole site, also in the application form. CVWarehouse had to prove itself again, especially now that we were no longer one of ten customers, but one of many. And their support went perfectly again. Because CVWarehouse worked closely with our communication company, the result turned out exactly as we had hoped. A few details still need to be fine-tuned, but they are followed up as soon as we mention them. There’s always someone available for us and CVWarehouse gives us the feeling that nothing that we are asking is too much. We know: if we ask for something, they will get onto it immediately. And that gives us a lot of confidence.”
